Joe Taylor Restoration is seeking an Administrative Assistant to join our team! The Administrative Assistant provides phone and administrative support to everyone at Joe Taylor Restoration as needed. Must be a self-starter, eager to learn, and have a positive attitude! This position works with all departments and interacts with all employees on a daily basis. This is a great opportunity to begin your career within a growing company!Primary / Key Essential Functions and ResponsibilitiesBuild sustainable relationships and engage customers by going the extra mileAnswers phone calls from insurance carriers, insurance agents and customers; identifies callers needsMaintain and update CRM: enter customer loss information, status updates, and upload proper documentationReceive, process and distribute requests via email and 6-line phone systemAssist in the monitoring of new assignments to ensure flagged email responses by internal staff are addressed immediately and forwarded to appropriate personEnter and process incoming assignments (losses) and dispatch assignments to a field technician in rotationRun assigned reports to ensure proper file management and workflowResponsible for report processing including proofing, editing and confirming claim details on the appropriate reports. Present reports to management for review and send to customers and clientsCreate and update department processes and documentationEngage with staff as needed for problem-solvingRun reports to ensure proper file management and workflowScan and archive documents and correspondenceProvide general administrative and clerical supportShare innovative and creative ideas on improvementsDevelop and create processes to present to support the team as neededAny and all other duties assigned by management.Knowledge, Skills and AbilitiesProficient in Microsoft Office Suite (Outlook, Microsoft Word, Microsoft Excel)Efficiently manage workload and work with managersEfficiently manage multi-line phone systemExcellent problem-solving skillsInteract positively with other employees of all levelsExhibit adaptability, flexibility, self-control and maturity in work and behaviorRecognize situations that require notification of upper managementAnalyze, interpret and communicate data effectively both verbally and in writingEffectively present information and respond to questions from leadershipComplete assignments with promptness and accuracy
